Outsource your procedural tasks to a reliable VA

Rated Excellent

Growing a business is hard, especially if you're having to do everything yourself.

To unleash the power in your business and free-up time you should delegate and outsource tasks that you don't want to do or shouldn't be doing.

At Contentellect we can help you do just that.

Hi, I'm Mark 👋

I've worked with VAs since 2011 (before VAs were a thing), and I can confidently say that it has been one of the most effective strategies I've used to scale.

Think about it.

How many tasks are you doing every day that, although important, are not strategic and are not driving your business forward?

Leveraging a flexible support team (without worrying about hiring, sick leave and payroll) is a no-brainer.

But the real magic comes when you get good at delegating.

The fastest way to remove yourself as the bottle-neck in your business is to delegate things off your desk.

Done right and I promise you will free-up time, get more done and grow faster.

There are two types of good VAs.

The first type are those who are fast-learners, adept at picking things up quickly and adapting to a dynamic job specification. These VAs are like gold dust. If you find one, hang onto them and pay them well.

The second type are those that need structure and a process-driven task to deliver reliably and consistently. They're a safe-pair of hands, but only perform at their best with a narrow-set of well-defined tasks.

At Contentellect we focus on the second type of VA.

This means we are a task-based VA service. We're great at taking procedural tasks and delivering them quickly, efficiently and correctly every time.

However, if your task can't be well-defined in a step-by-step process or the job spec is dynamic and evolving, then unfortunately we're not the service for you.

Working with us is simple.

First, setup a call to discuss your tasks and see if we're a good fit.

Assuming we can help, we'll ask you to use Loom to record a video of the task you need completed. This does two things:

  1. It ensures we're all clear on what needs doing, and
  2. It provides a great measure of how long a task takes.

Send us the video and we'll get cracking. It's that simple.

Start working with us today and experience the power and freedom that comes with effective delegation.

Contentellect has been a game-changer for my business. I simply record short videos on the tasks I need completed, and their VAs get them done. They are fast, efficient and reliable. Not to mention super affordable!

How we can help

We can help with any repetitive task that has a well-defined process. Here are some examples...

Good fit

  • Transcription of audio or video
  • Uploading of blog posts to Wordpress
  • Data entry tasks
  • Updating CRMs, spreadsheets etc.
  • Basic social media scheduling

Bad fit

  • Design work
  • Development work
  • Sales prospecting, calls and emails
  • Calendar management
  • Creative social media posting

How it works

Simple as 1-2-3

Step 1: Schedule a call

Schedule a call with us to discuss the tasks you're looking to get done and see if we're a good fit.

Step 2: Record your task

Sign-up to Loom (it's free), and record your screen whilst you complete a task you want to outsource. This will force you to ensure the task follows a repetitive process. It will also give you a good sense of the time required to complete the task. Send us the video file.

Step 3: We'll get cracking

After we've agreed the time commitment with you, we'll get cracking on the task so you can focus on running your business knowing we've got your back.

Where are your VAs based?

All our VAs are based in Cape Town, South Africa. The VA talent in South Africa is second to none. All our VAs hold tertiary qualifications, have professional work experience, and are native English speakers. We trust our VAs with our own businesses. In fact they are stress-tested in our businesses before we put them on clients.

Will I work with the same person on every task?

It depends. Because we only take on procedural tasks that have a well-defined step-by-step process, it means that we are able to resource your projects with whoever in our team has capacity. We do however try keep the same VAs on the same clients to ensure consistency of output.

Can your VAs do PA/EA related work?

Although some of our VAs can do PA/EA related work. We generally don't take this on unless we have a very special client. If you're looking for an EA do chat to us though as we may be able to help, either with recruitment or with delegation to our team.

What happens if I'm unhappy with the service?

Our VAs strive for excellence. However, we are human and do make mistakes. If we haven't delivered work that meets your expectations we will do everything we can to correct it quickly and efficiently. If however you decide we're not a good fit, you can cancel your service at anytime and we'll provide a full refund.

How do you track time?

All work is tracked using a software called Everhour. After each day your VA will update a time tracker and provide a report that reconciles time spent each month.

What happens to purchased time that is not used?

Unused time never expires. For example, if you have purchased 40 hours of support and we only end up using 30 hours, you will have a credit of 10 hours to use on your next order.

What time zones do we cover?

Our standard operating hours are 08:00-18:00 GMT+2. However, for clients in the USA or Asia we are able to use VAs that prefer working late evening or early mornings to better dovetail with your work-day. Chat with us to find out more.

Do I have to use Loom to record my tasks?

No, you can use any video recording software. Or you can even write the steps of your task into a standard operating procedure (SOP) document. The important thing is that the task is well-defined and we can follow the steps required to efficiently complete it.

What type of tasks can I outsource to your VAs?

You can outsource any procedural task that has a repetitive and well-defined process. Good examples include:

  • Transcription of audio or video
  • Uploading of blog posts to Wordpress
  • Data entry tasks
  • Updating CRMs, spreadsheets etc.
  • Basic social media scheduling

What tasks should I avoid sending?

Any task that is not repetitive and doesn't follow a structured process is not something we will take on. For example:

  • Design work
  • Development work
  • Sales prospecting, calls and emails
  • Calendar management
  • Creative social media posting
